Job Description:

Maintains a broad responsibility for all administrative functions of the medical practice and ambulatory service lines. Supervises and coordinates the outpatient clinical activities related to practice operations, patient registration, scheduling, patient financial services, phone communication, managed care, clinical outcomes and community outreach/education.-- Evaluates patient services in order to provide safe, efficient and therapeutic care within departmental policies and United Hospital Center standards.-- Coordinates work with medical staff and departmental administration, other departments and community agencies.-- Acts as a liaison with patients, businesses, academic administration, faculty and staff.-- Demonstrates proficient clinical knowledge in planning and delivering care that has long range implication for the patient population.-- Coordinates day-to-day business activities of the outpatient clinic.----------------------------------MINIMUM QUALIFICATIONS:EDUCATION, CERTIFICATION, EXPERIENCE, AND/OR LICENSURE:1. Bachelor's degree AND four years of experience in a health care setting AND three years of healthcare management/supervisor experience; --OREight years of experience in a health care setting AND three years of healthcare management/supervisor experience------PREFERRED QUALIFICATIONS:EDUCATION, CERTIFICATION, AND/OR LICENSURE:1. Bachelor's degree in Business Administration or Healthcare Management preferred.EXPERIENCE:1. 5 or more years of progressive leadership roles in an ambulatory or hospital clinic setting.--------------------CORE DUTIES AND RESPONSIBILITIES: The statements described here are intended to describe the general nature of work being performed by people assigned to this position.-- They are not intended to be constructed as an all-inclusive list of all responsibilities and duties.-- Other duties may be assigned.1. Responsible for daily operations for the Orthopedics and Spine Center service lines.2. Partners with the various specialty clinics and/or departments to create standardized template and protocol modeling. Defines deliverables and frequency of the administrative and clinical support staff rotation at different to gain familiarity with customer operations.-- Solicits feedback and buy in from key stakeholders.-- Incorporates lessons learned into training and policies to improve operations.3. Assesses and restructures all front end processes across ambulatory operations to ensure a positive, consistent patient and experience revenue cycle optimization. Manages the standardization of front end practices throughout operations and design.--4. Collaborates with VP of Ambulatory Services to define and execute deliverables.5. Leverage standardization and process improvement techniques to improve business operations. Manage costs toward the improvement of net revenue.-- Strategically develop, refine and improve performance metrics and measurement methods using standardized and customized tools.---- Consistently measure results.6. Manages the operating and capital budget in close collaboration with leadership and the management team. Foster ongoing revenue cycle improvements.-- Aggressively mitigate all variances to budget.-- Make sound decisions on best use of resources in support of priorities and strategies.----7. Develops tools and strategic techniques to accurately predict and monitor capacity across orthopedics, spine center and out-reach clinics as designated by senior leadership to improve access and the patient experience. Develops and implements process to strategically quantify and increase the percentage of visits to optimize capacity and access.8. Is actively engaged in the development and implementation of a marketing and development plan for the Orthopedics and Spine Center service lines.-- Actively participates in providing education and addresses feedback from the community about the care and service provided.9. Mentors and influences administrative and physician leaders, management, physicians and employees in a manner which emphasizes the importance of team work, collaboration, accountability, and the sharing of information, resources, and best practices amongst stakeholders across the organization to meet defined goals, objectives, and performance metrics in a timely manner.10. Plans, implements, manages and evaluates the delivery of ambulatory projects as it is related to patient care in accordance with the policy and procedures, philosophy and mission. Works closely with faculty, staff and peers to successfully complete projects and to identify opportunities to improve patient processes.11. Assists in the development and implementation of new clinic services and programs from clinic design, clinic build, outfitting equipment and operationalizing/opening the clinic.12. Oversees the in-house scribe program for our ambulatory sites of services to include system wide hospitals.13. Assumes authority and responsibility for decision making and problem solving for the outpatient clinic.14. Responsible for the coordination, organization and delegation of operational aspects of the medical practice to ensure effective, efficient delivery of services.15. Assures quality patient care is provided consistent with hospital policies and Joint Commission requirements.16. Selects, hires, and evaluates the effectiveness of employees on a continuous basis.17. Establishes goals and bench marks related to ambulatory operations and provides input required for hospital reporting systems when applicable.18. Provides guidance and assistance in creating processes to ensure continuity of care including mitigation plans for unplanned staffing changes, on-call schedules, and other unplanned circumstances.`19. Assists with the initiatives related to enhancing patient engagement and communications through the use of my WVUChart capabilities.-- Ensures appropriate and consistent policies, procedures, and education across all ambulatory sites.------------PHYSICAL REQUIREMENTS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
